The Imperfect Pride Privacy Policy

The Imperfect Pride is a trading name of Charlotte Mary Barton, a sole trader based in the United Kingdom.

For data protection purposes, Charlotte Mary Barton trading as The Imperfect Pride is the data controller. This means we decide why and how personal information is used.

This policy covers The Imperfect Pride website, enquiries, mailing communications, community activities and adult events. It does not currently cover separate CMB Coaching services or bookings made through Paperbell; those services require their own privacy information.

2. The information we collect

Depending on how you interact with us, we may collect:

  • your name, email address, telephone number and contact preferences;

  • event booking details, ticket type, payment status and attendance information;

  • information about a second attendee where one person buys a two-person ticket;

  • dietary requirements, allergies, accessibility needs, health information or adjustments you choose to tell us about;

  • emergency contact details where appropriate for a particular event;

  • your choices about photography and video;

  • messages, enquiries, feedback, complaints and other communications;

  • photographs, video or audio captured at an event where you have agreed to this;

  • newsletter or marketing preferences;

  • technical information generated when you use our website, such as IP address, browser and device information, pages visited and cookie choices;

  • records needed for accounting, tax, insurance, incident management or legal purposes.

Please only give us information that is relevant to your enquiry or participation.

If you book for somebody else, we may receive their information from you. Please make sure they know you are giving it to us and share this privacy policy with them. Where possible, we will communicate directly with each attendee about their choices.

3. Why we use your information and our lawful bases

We use personal information only when we have a lawful reason to do so.

Where we rely on legitimate interests, we consider the benefit to The Imperfect Pride and its community alongside the possible effect on you. We do not rely on legitimate interests where your rights and interests override ours.

We do not use personal information to make solely automated decisions that have legal or similarly significant effects on you.

4. Health, access, dietary and other sensitive information

Information about health, disability, allergies and some dietary requirements may be special category data, which receives additional protection under data protection law.

When we ask for this information, we will explain why it is helpful and whether it is optional. We normally use it with your explicit consent so that we can consider dietary needs, access requirements, movement adaptations, safety and reasonable support.

You do not need to disclose a diagnosis or provide more detail than is necessary. You may withdraw your consent, but doing so may limit the adjustments or arrangements we can make. Withdrawal does not affect processing that was lawful before you withdrew consent.

We may also use relevant information where this is necessary to protect someone’s vital interests in an emergency, or to establish, exercise or defend legal claims.

We limit access to this information to the people who genuinely need it, such as the event lead, relevant facilitator, caterer or venue contact. Wherever practical, we share only what they need to know rather than your full booking record.

5. Photography and video

We may invite attendees to consent to identifiable photography or video for The Imperfect Pride’s website, social media and future event promotion. Agreeing is optional and is not a condition of attending.

For events using the photography badge system, your checkout choice will be confirmed at check-in and shown through a discreet marker so that the photographer and facilitators can follow it. You may change your mind during the event by speaking to a facilitator.

You may later withdraw consent for future use by emailing connect@theimperfectpride.com and identifying the image where possible. We will stop new uses and remove the image from channels we control where reasonably possible. Withdrawal does not affect uses that were lawful beforehand, material already printed, or copies that other people may have independently shared.

We will not use facial recognition or other technical processing to identify people in event photographs.

6. Payments

Online ticket payments are processed through Wix Payments and its payment partners. We receive information such as your name, contact details, payment status, amount and transaction reference, but we do not receive or store your complete payment-card number.

Payment providers process some information under their own privacy terms. Please review the privacy information shown during checkout.

7. Who we share information with

We may share limited personal information with trusted providers and people who help us operate, including:

  • Wix, which hosts the website and provides Wix Events, booking and payment tools;

  • our email, document storage and business administration providers;

  • payment and fraud-prevention providers;

  • event facilitators, photographers, caterers and support team members;

  • the venue, where particular information is needed for access, safety or event delivery;

  • accountants, insurers, professional advisers or IT support providers;

  • regulators, courts, emergency services or other authorities where disclosure is legally required or necessary to protect someone.

We ask service providers acting on our instructions to use information only for the agreed purpose and to protect it appropriately. We do not sell personal information.

We do not give attendee contact details to facilitators or other guests for their own marketing unless you have separately agreed to that.

8. International transfers

Some technology providers may process or store information outside the United Kingdom. Where personal information is transferred internationally, we rely on an applicable UK adequacy regulation or require recognised safeguards, such as the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, or another lawful transfer mechanism.

You may contact us if you would like more information about the safeguards relevant to your information.

9. How long we keep information

We keep information only for as long as reasonably necessary for the purpose for which it was collected.

Our normal retention periods are:

  • Unsuccessful or general enquiries: up to 12 months after the last meaningful contact.

  • Event booking, payment and contractual records: normally six years after the end of the relevant financial year, where needed for tax, accounting or legal purposes.

  • Dietary, access and health information: normally deleted or anonymised within 30 days after the event, unless it is relevant to an incident, complaint, insurance matter or continuing arrangement.

  • Photography-consent records: retained while the related images are in use and for a reasonable period afterwards so that we can respect and evidence your choice.

  • Event photographs and video: reviewed at least every three years and removed when no longer relevant, appropriate or necessary, or following withdrawal of consent where removal is reasonably possible.

  • Marketing records: retained until you unsubscribe or withdraw consent. We may keep the minimum information needed on a suppression list so that we do not contact you again by mistake.

  • Complaints, incidents and insurance-related records: normally up to six years after the matter is closed, or longer where a legal or insurance requirement applies.

We may keep information for longer where required by law, to deal with a dispute or legal claim, or where you have asked us to maintain an ongoing relationship.

10. Cookies and website information

Our Wix website uses cookies and similar technologies. Some are essential for functions such as security, bookings and checkout. Other cookies may support analytics, preferences or marketing.

Where required, non-essential cookies will not be placed until you make a choice through the website cookie banner. You can change or withdraw your choice through the cookie settings available on the website and through your browser settings.

11. Marketing

Booking an event does not automatically subscribe you to general marketing.

Where you choose to join our mailing list, we may email you about The Imperfect Pride events, resources and community news. You can unsubscribe using the link in an email or by contacting connect@theimperfectpride.com.

We may still send non-marketing messages that are necessary to administer an event you have booked, even if you have unsubscribed from general marketing.

12. Security

We use reasonable technical and organisational measures to protect personal information. These include limiting access, using password-protected systems, applying the security controls offered by our providers and giving facilitators only the information they need.

No online system can be guaranteed completely secure. If a personal-data breach creates a risk to people, we will take appropriate action and notify the Information Commissioner’s Office or affected individuals where the law requires it.

13. Your rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete information;

  • ask us to restrict how information is used;

  • object to certain uses of your information;

  • receive certain information in a portable format;

  • withdraw consent at any time where we rely on consent; and

  • complain about how your information has been used.

Some rights are not absolute and depend on the lawful basis and circumstances. We may need to confirm your identity before fulfilling a request.

Your right to object

You have an absolute right to object to the use of your personal information for direct marketing. You may also object where we rely on legitimate interests. Email connect@theimperfectpride.com to exercise this right.

We normally respond to data-rights requests within one month.

15. Young people

Our current public community events are for adults aged 18+. We do not knowingly invite children to purchase adult event tickets.

If The Imperfect Pride later offers a service specifically for children or young people, we will provide age-appropriate privacy information and put suitable booking, consent, parental-involvement and safeguarding arrangements in place before collecting their information.

16. Changes to this policy

We may update this policy when our services, providers or legal obligations change. The latest version will be published on our website with its revision date. If a change materially affects how we use information already collected, we will take reasonable steps to bring it to the attention of the people affected.
